About Papis

The Papis© system is designed for specimen registration throughout the Animal Kingdom and is intended to be simple and easy to use.

Papis© covers the basic needs for registration and is well suited for institutions as well as for individual scientists/curators.

You can install Papis© and the accompanying User's Guide on your desktop computer, or bring it with you on your laptop when traveling to other museums or into the field.
Or you can install Papis© on a FileMaker© server, give access rights to selected individuals and let people work simultaneously with the system.

With Papis© you can:
– Create new records singularly or as multiple records (duplicates) in a few seconds
– Search all fields, singly or in combinations
– Attach an unlimited number of images to individual specimen records
– Auto-create unique names to your images
– Search, find and compare images
– Import and export in various formats
– Extract data to your homepage – Auto-create, zip and export a Darwin Core Archive ready for GBIF and share your data with others, with just a few clicks

There are no taxonomic trees incorporated into the system.
What you put in is what you get out.

Papis is developed by Thomas Pape & Nikolas Ioannou, Natural History Museum of Denmark.

Papis is Copyrighted 2009, Natural History Museum of Denmark, but is given to the Scientific Community as a free and open system.
It means that the system can be used and modified by any institution or person to fit their own particular needs,
as long as proper credit is given to the developers of Papis and the Natural History Museum of Denmark.
The system is not to be an object for profit.

Papis is available for download in both a stand-alone (runtime) version and a version for use in the programme Filemaker - See more below

Use
The database conforms to basic standards and can easily be installed, implemented, and maintained.

You have to acquire and install FileMaker© Pro v.10+ or, if you want to provide simultaneous access to multiple users, a FileMaker© Server.
The FileMaker© engine can easily accommodate millions of records.

You can read the User's guide before you download the Papis programme to get an impression of the potential and use of Papis.

In the User's guide there is more information about installation, but please see "Login" below to be able to enter the system.

Login
In order to open Papis© and get access to its components, you must fill in the account name and password.

The default usernames and passwords are:

  • For full access: Login: admin, Password: admin
  • For limited access: Login: user, Password: user

Runtime
is a stand‐alone version if you do not have FileMaker© Pro 10.0+. Runtime lets you familiarise with Papis© before buying FileMaker© Pro.
This is accomplished with the FileMaker© runtime module. See User's guide for more information.

Login
In order to open Papis© Runtime version and get access to its components, you must fill in the account name and password.

The default usernames and passwords are:

  • For full access: Login: admin, Password: <leave blank>

Support

The Papis application is available for download with the accompanying user-guide included. This user guide is accessed directly from the Papis application through links from the application to specific bookmarks inside the user-guide document. Any support other than what is specified in the user-guide is currently not available. Hence, please do not try contacting the website administration for getting support on this matter.

How to share your data in GBIF

If you want to share your data with others on the data portal of GBIF - Global Biodiversity Information Facility, please contact the DanBIF secretariat.

Data records from Papis are GBIF-ready, and you can deliver the export zip-file from Papis to DanBIF e.g. by email.

The DanBIF secretariat will then publish your data in GBIF via a special IT-tool called a 'provider'.

When DanBIF publishes your data in GBIF, all rights to the data still remain yours.

When you share your data with the global community through GBIF, in addition, you get a safe storage and backup of your data on DanBIF's server.
